A rent receipt is one of the most important documents. A simple document like this could be the eviction decider and this just shows how important it is. This receipt serves as proof that a specific amount of money was paid as rent for a specific property. The landlord should be the one responsible for creating this document and making it available to the tenant whenever any rent amount has been paid. They should be kept as proof that the transaction was made during the specified time.
A rent receipt should be specific and should contain the following particulars
1. The date of transaction the month, the date and the year and the period during which this payment caters for.
2. The mode of payment whether cash, credit, m-pesa, bank transaction or any other forms of payment that were used should be clearly indicated with the respective transaction codes attached too.
3. Tenants and land lord’s information and this is with regards to who is paying and to whom is the payment being credited to.
4. The amount should be properly indicated in both words and digits for easy reading and interpretation. Any additional feel or any deductions to be made there should also be a provision to indicate the same.
5. Signatures both parties should ensure they have signed on the receipt to make sure the payment was willing full and to acknowledge that the payment was made. Duplicates of the receipt should also be issued to the tenant, the landlord should also keep a copy.
A rent receipt serves many reasons all of which benefit both parties i.e the landlord and tenant and they include;
1. They serve as legal documentation and proof of payment.
2. The help both parties in record keeping and tracking of payments.
3. Rents receipts could serve as tax deductions to both parties and cold help in filing of taxes depending on jurisdiction.
4. Rental receipts could be an accurate mode of noting payment history and could provide vital information such as tenants who pay rent on time.
